Every new Client entering Vanilla Salon is required to fill out a Pre-appointment consultation form. (PAC) form.
SENDING THE (PAC) FORM
The front desk team will do their best to send the (PAC) form to every client who marked the new client box when booking their appointment. Once the text is sent out, the front desk will select the label "PAC form" on the client's appointment on Aquity so that any stylist can see that the link has already been sent to the client. If needed, a stylist can also send the form to the client.
CLIENT STYLIST COMMUNICATION
Please note that all first-time clients will communicate with their stylists through the Wix owner app SMS. To maintain professionalism, we will not text our first-time customers separately and ask for pictures and information outside the (PAC) form. Our form has been designed to avoid confusion, facilitate communication, and improve our customer service. We understand that there are many salons available, and we are striving to distinguish ourselves in the industry.
HOW TO SEND THE (PAC) FORM
To add a new customer to the Wix Owner App, press the plus button and choose Add Customer. Enter the customer's first and last name, email address, and phone number, then select Save. To send a message to the customer, select the customer and choose message contact. Select SMS at the bottom of the screen and tap the circle with a plus sign. Choose "saved replies," scroll down, and choose "pre-appointment consultation" to send a request to fill out the form to the client.
VIEWING COMPLETED (PAC) FORMS
(PAC) forms can be viewed on the Wix owner app.
IF THE CLIENT HASN'T RECEIVED OR FILLED OUT THE FORM PRIOR TO ARRIVING
If a (PAC) form has not been filled out before the client arrives, please notify the front desk. The client can then fill out the form on the salon iPad upon arrival, and it will be immediately available to view.
AFTER RECEIVING THE FILLED-OUT PAC FORM
After receiving the filled-out (PAC) form, we will go over the Pac form and fill out the stylist (PAC) solution form> this will allow our stylists to problem-solve any issues the client is having and come up with solutions with in-salon services and at-home care. Once the stylist has filled this form out, they will be able to sit down with the client and give them a full custom professional consultation with the ability to have solutions for all the client's hair needs, with a list of recommendations to help the client have their dream hair. Once we receive the filled-out (PAC) form, our stylists will review it and fill out the stylist (PAC) solution form. This will allow them to identify any concerns the client may have and come up with solutions through in-salon services and at-home care. With this information, our stylists will be able to have a full, custom professional consultation with the client and provide solutions for all their hair needs, along with a list of recommendations to help them achieve their dream hair.
